Hi there, and welcome to The Impact!
As Q4 creeps up, you’ve probably got one eye on year-end fundraising and the other on deadlines you swore wouldn’t sneak up on you this year. We can relate!
This week’s issue is here to help you hit all your year-end goals with confidence. Whether it’s sharpening your storytelling, exploring cause marketing, or locking in smarter grant systems, we’ve pulled together tools and inspiration to help you raise more money with less stress.
Let’s dig in!
Pitfalls and Pointers
⚠️ Pitfall: Prioritizing Glitz Over Strategy at Fundraising Events
Events can be exciting; they bring people together, celebrate your mission, and raise your visibility. But here’s the truth: too many nonprofits sink time, money, and staff resources into events that barely break even—or worse, lose money.
When your team is burned out from months of planning and your budget takes a hit, the cost isn’t just financial. It’s opportunity cost. You could’ve spent that time building major donor relationships, writing grants, or launching a new campaign. Instead, you’re left asking: Was it even worth it?
💡 Pointer: Plan Events That Actually Pay Off
As nonprofit event trends continue to shift toward hybrid formats, immersive experiences, and deeper donor personalization, it’s more important than ever to ensure your events are strategically aligned with your goals. Cvent’s latest report on event trends shows just how fast the space is evolving.
Here’s how to make sure your event drives real fundraising results:
- Clarify the “why”. Is this event meant to acquire new donors, deepen existing relationships, raise general funds, or build awareness? Nail this down early.
- Set clear success metrics. Go beyond revenue. Consider cost-per-dollar raised, number of new contacts, donor upgrades, or post-event retention rates.
- Choose a format that fits your goals. Galas aren’t the only option. Small salons, online challenges, peer-to-peer campaigns, or mission tours might be a better and more cost-effective fit.
- Work backwards from the numbers. If your goal is to raise $25,000, map out how many donors, sponsorships, or ticket sales that will be required and whether your team has the capacity to pull it off.
- Don’t skip the follow-through. Events are just the beginning. The follow-up is where long-term value is built. Personal thank-yous, impact stories, and clear next steps turn one-time attendees into lifelong supporters.

Tech You Should Know
What:
Planning a fundraising event and thinking about adding a silent or virtual auction? BetterWorld Auctions, a free platform for hosting online auctions, might be your new secret weapon. This free platform helps nonprofits launch in-person, hybrid, or fully virtual auctions without the hefty platform fees or complicated setup.
How Grant Writers Can Use It:
- Launch an auction in minutes. Create a custom-branded auction page, upload items, set bidding rules, and you’re live - no tech team needed. (Phew!)
- Go virtual or hybrid. Ideal for events that combine in-person and online attendees.
- Maximize engagement. Features like mobile bidding, countdowns, and instant notifications keep bidders involved (and coming back!).
- Capture donor data. Every bidder can become a potential long-term supporter. Use the built-in tools to thank, track, and re-engage.
Keep in Mind:
- Donor tipping helps keep the platform free. Instead of charging your nonprofit, BetterWorld gives donors the option to cover credit card fees and tip the platform during checkout. Most donors choose to contribute a little extra, but it’s optional, and doesn’t impact your earnings. Just be sure to explain this clearly so there are no surprises.
- Item quality matters more than quantity. A smaller selection of highly appealing auction items will outperform a long list of less exciting ones. Prioritize experiences, unique packages, or mission-aligned goods—and begin outreach early to give donors and sponsors time to say yes.

Expert Perspectives
🏆 Diane Leonard on Grant Writing With an Agile Mindset
Nonprofit deadlines don’t wait. Shifting funder priorities, surprise reporting requests, and overlapping applications are just part of the grind. But what if a little structure could bring a lot more sanity?
That’s where an agile framework comes in.
In an Instrumentl webinar, Certified Scrum Trainer and grant professional Diane Leonard walked through how grant professionals can borrow from the world of project management to reduce stress, boost team communication, and win more grants.
Here’s her expert advice:
- Make your calendar visible. Use sticky notes, Micro boards, or color-coded spreadsheets to map out 12 months of deadlines, reports, and “wish list” grants. When your team can see the full picture, they can adapt faster.
- Break big grants into bite-sized chunks. Create a backlog of tasks and assign owners so everyone knows who’s doing what and by when. Using a tool like Instrumentl can make this seamless.
- Hold quick team check-ins. Just 10-15 minutes weekly is enough to share progress, flag roadblocks, and keep everyone aligned.
- Debrief and improve. After each big grant, reflect on what worked and what didn’t. Even a short conversation helps your process get better over time.
Her biggest tip? Start small. You don’t need to change everything overnight. Even one shift—like making your calendar collaborative—can make a big difference.

The Latest Numbers
According to the Fundraising Effectiveness Project’s Q1 2025 report, nonprofits raised 3.6% more total dollars than in Q1 2024. But don’t let that uptick mask growing risk in your donor base.
Here’s what the data reveals:
- 3.6% increase in dollars raised, driven largely by major gifts, not grassroots momentum.
- 1.3% drop in overall donor count, signaling that fewer supporters are giving—especially early in the year.
- The smallest donors ($1 - $100) who make up 57% of all givers declined by a staggering 11% this year.
- Donor retention slipped from 18.3% to 18.1%, showing that even returning donors are hard to keep engaged.
Why does this matter? This pattern of more money, fewer donors is a red flag. It means your fundraising might be financially buoyant now, but you’re building that buoyancy on fewer pillars. Without a healthy small-donor pipeline, long-term sustainability could be at risk.
What you can do:
- Re-engage lapsed donors with personal outreach. Use segmentation to identify who’s missing and why. A quick phone call or handwritten note can go a long way.
- Launch a micro-campaign targeting donors with an annual giving of under $100. Use language that highlights how small gifts can have a significant impact.
- Make retention a team effort. Set a goal to retain 10% more first-time donors this year and involve your entire team in follow-up and stewardship.
Don’t wait until year-end to address donor drop-off. The sooner you start, the stronger your donor base will be when you need it most.
