Pitfalls and Pointers

āš ļø Pitfall: Treating Your Board Like a Rubber Stamp

If your board is only asked to approve budgets or vote on bylaws, you’re underutilizing one of your nonprofit’s most powerful assets.

When board members are kept at arm’s length from strategy, fundraising, or program impact, you miss out on:

  • High-level advocates who can vouch for your mission with funders and stakeholders
  • Strategic advisors who can provide guidance rooted in experience, governance, or industry knowledge
  • Trusted stewards who can help ensure your long-term vision stays aligned with your values and financial health

A disengaged board is not only unhelpful, but can also become a liability when tough decisions arise and trust hasn’t been built.

šŸ’” Pointer: Activate Your Board as Strategic MVPs

Start by redefining what board engagement actually looks like—not just attending meetings, but actively shaping the organization’s direction and reach.

To move from passive oversight to active participation:

  • Clarify expectations early: Onboard new members with written role descriptions that include strategic involvement and not just fiduciary duties.
  • Assign ownership: Designate leads for areas like fundraising, DEI initiatives, or grant strategy. This gives members purpose and clear lanes of impact.
  • Make reporting easy: Use digestible, visual updates (like dashboards or one-pagers) to share progress on grants, programs, and finances in between meetings.
  • Request input - not just votes: Before presenting a new initiative, invite board feedback during the planning phase. Early involvement builds buy-in and surfaces strategic insights.
  • Leverage their networks: Provide scripts or materials that make it easier for board members to introduce your nonprofit to funders or potential donors.

The goal? A board that doesn’t just show up but moves your mission forward with clarity and confidence.

Fundraising Inspiration: A Smarter Start to Giving Tuesday

Giving Tuesday isn’t just about raising money; it’s about rallying your community around generosity and impact. The most successful campaigns are the ones that start early, set clear goals, and engage supporters creatively.

If you’re feeling overwhelmed, don’t stress! Giving Tuesday has a Nonprofit Toolkit with some easy-to-implement strategies that you can put into action this year.

  1. Build anticipation with a storytelling campaign: Instead of only showing up on December 2nd, warm up your audience with stories in the weeks leading up. Spotlight a volunteer, a staff member, or someone directly impacted by your work. End each post or email with a ā€œsave the dateā€ for Giving Tuesday so your supporters know exactly when to take action.
  2. Turn supporters into ambassadors: Your community wants to help—you just have to make it easy for them. Encourage a small group of loyal donors, staff, or board members to set up peer-to-peer fundraisers. Provide them a toolkit of ready-to-use graphics, sample posts, and talking points so they can champion your cause without extra lift.
  3. Break down your goal into mini-milestones: Big numbers can feel abstract and unachievable! Instead of asking for $50,000, frame smaller wins, such as: ā€œA $1,000 gift provides school supplies for one classroom for an entire year!ā€ Or, ā€œ$500 will provide meals for 50 families.ā€ Celebrate each milestone publicly to keep momentum high during the big day.
  4. Practice gratitude: Don’t let your ā€œthank youā€ be an afterthought. Schedule thank-you emails, social shoutouts, or even a livestream the evening of Giving Tuesday to show appreciation in real time. These efforts will boost your donor retention heading into year-end giving.

Expert Perspectives

šŸ† Danette Fettig Halloran on Using AI to Supercharge Your Grant Writing

AI is no longer just a buzzword; it’s becoming a powerful partner for grant writers. In her Instrumentl masterclass, Danette Fettig Halloran, a seasoned grant writer and prompt engineer, shared how to stop dabbling and start driving results with ChatGPT.

Her bottom line? With the right tools and prompts, AI can help you work faster, write stronger, and win more grants without losing the human touch.

Here’s her expert advice:

  • Upgrade your toolkit: The free version of ChatGPT is like a bicycle. But the Pro version is like a car. Paid plans let you build custom GPTs that remember your voice, store your documents, and act like a grant-savvy assistant.
  • Be specific with prompts. AI isn’t magic—it’s a mirror. If your input is vague, your output will be, too. Structure your prompts with clear roles, real data, and integrity guardrails.
  • Train your AI like a teammate. Feed it your mission, past proposals, and funder guidelines. When it comes to AI, knowledge is power; with enough context, it starts thinking like a member of your team.
  • Don’t stop at first drafts. Use custom GPTs to review proposals, roleplay as a funder, or even critique your budget narratives. Danette uses hers to simulate reviewer feedback—and it works!

Her final reminder: ā€œAI isn’t here to replace us. It’s here to support us so we can spend less time on busywork and more time making an impact.ā€

The Latest Numbers: Are Funders Really Listening?

The Center for Effective Philanthropy (CEP) recently analyzed thousands of nonprofit surveys to understand how foundations seek and respond to feedback. The results reveal a troubling gap:

Here’s what CEP found:

  • 84% of foundation leaders report that they seek input from grantees.
  • Yet only 36% of nonprofits believe funders actually act on that feedback.
  • Just 1 in 3 nonprofits feel their funders are open to hearing critical or challenging perspectives.

This disconnect matters. Stronger listening leads to stronger relationships, and ultimately, stronger funding outcomes. But too often, nonprofits feel their voices don’t lead to meaningful change.

That’s why building and maintaining authentic funder relationships is one of the most important investments you can make. The key is consistent, two-way communication. Keeping funders updated on progress between reports, seeking feedback at multiple stages, and engaging program officers as partners (not just gatekeepers) can increase your chances of long-term success.
